Storage: A typical document management system provides a repository to store and organize documents. The repository can reside on a server over a network or on an individual user's machine. To build the document repository, documents and files can be imported or paper documents can be scanned and saved into the repository. |

Security: A document management system provides restricted access within the document repository in order to ensure and maintain security of documents. |

Indexing: Index fields are additional information that describes a document. Index fields can be created and associated with selected documents to enable faster retrieval. |

Retrieval: Detailed search criteria are provided to enable faster retrieval of documents stored in the repository. Search can be performed on the basis of document attributes such as name, type and date of modification etc and also on the basis of index fields defined for the documents. |

FTP: An FTP tool can be integrated with the basic document management solution, enabling users to easily transfer documents to a remote location. The FTP tools allow users to upload documents from the document repository to a remote server and vice versa, via an FTP client. |

E-mail Module: Various E-mail software applications such as Outlook Express etc can be integrated with the document management solution. Once the document management system is configured with the email application, users can import their existing e-mail accounts and address books into the system. Integration of third-party email applications provides users with the ability to send documents (stored within the repository) as an attachment in an e-mail. |

Scan Module: In order to provide users with the ability to scan documents and store them into the document repository a Scan module can be developed and integrated with the solution. The scan module will help users convert paper documents into electronic documents. |

OCR: Optical Character Recognition (OCR) enables characters to be extracted from an image/scanned document. As invoices, application forms etc are a major source of data for companies, an OCR module integrated with the solution will enable companies to scan the paper documents and extract the data stored in them. The data extracted can be saved to a .txt or .doc file and can be stored within the document repository. |

FAX: A fax module integrated with the solution enables users to fax documents, stored with the document repository, via a modem. The fax module can be configured so as to enable users to select relevant documents, compose and attach a cover page and send the fax via the selected modem to the specified fax number. |

PDF: In order to provide users with the functionality covert documents into PDF file format, a PDF tool can be integrated with the solution. The tool can be customized in a manner so as to enable users to search and select documents to be converted, preview it and specify a location within the document repository where the PDF document is to be saved. |
